Office Manager

Job Description:

Smart Space Group is looking for a dynamic Office Manager to join our team in London to oversee the small but dynamic office. In this role, you’ll be responsible for general administrative functions, assisting in project co-ordination and basic book keeping. The ideal candidate will be someone with refined communications skills, organised, pays close attention to detail, positive attitude, self-motivated, and works well in a fast paced, team environment.


  • General Office Management; receive deliveries, answer incoming calls, assist with coordination of meetings and interviews, manage calendars, handle incoming and outgoing mail/shipping
  • Project Coordination and Assistance; ordering stock, keeping track of budgets and timelines, coordinating schedules and deadlines, organising meetings
  • Book Keeping; recording invoices and assigning to appropriate projects, filing necessary information
  • Office Maintenance; keep all elements of the office clean and organized, ensure company adheres to fire safety and building regulations and policies
  • Event and Travel Planning;
  • Updating website and social media streams
  • Manage other ad-hoc administrative requests and operative tasks within the office

Available to work Monday – Friday, 40 hours per week, 8-17 with 1 hour lunch break. Some flexibility is possible.

Here is what we’re looking for:

  • 3+ years of related work experience
  • Fluent in English; Bilingual skills a plus
  • experience in technology or building related sector a plus
  • Excellent verbal and written communication skills
  • Microsoft Office experience; intermediate Excel and PowerPoint skills required, advanced skills a plus
  • Accustomed to making decisions with little supervision or direction with a “can-do, make-it-happen” attitude
  • Demonstrates confidence, good judgment, positive attitude and is a team player
  • Proven ability in taking initiative, juggling multiple projects, working thoughtfully and intentionally
  • Ability to operate with flexibility and adapt quickly to a fast-changing environment
  • Proven ability to anticipate needs, plan-ahead and act accordingly
  • Excellent organization skills with proven ability to prioritize tasks
  • Exceptional attention to detail
  • Demonstrated ability coordinating events on/off site
  • Demonstrated ability to stay calm and work successfully under pressure
  • Demonstrated management experience a plus


This position will be based in Stratford, London.

Compensation, Benefits and Perks:

  • £21-£26k depending on experience
